Administrative Coordinator

REPORTS TO: Executive Director

HOUSED IN: Administration Department

SUMMARY: The Texarkana Regional Arts & Humanities Council, Inc. (TRAHC) is an equal opportunity employer seeking an Administrative Coordinator familiar with non-profit, office and communications management.

TRAHC’s Administrative Coordinator supports the organization with acquiring funding, communications, and daily operations alongside the Administrative Team with attention to detail, confidentiality, collaboration and professionalism. ESSENTIAL FUNCTIONS

Administration

  • Processing Human Resource documents/procedures with attention to detail & confidentiality
  • Keep directories and organizational records up to date and accessible for interdepartmental use
  • Maintain and develop organized filing
  • Document and track board, donor, membership, volunteer, & staff communications
  • Draft and maintain policies and procedures, ensuring compliance with applicable local, state, and federal laws
  • Collaborate with Executive Director with tasks as needed

Fundraising & Development

  • Research and develop funding resources
  • Monitor grant applications & report schedules to ensure deadlines are met
  • Interdepartmental communications, data collection, and submission of applications/reports
  • Timely response and processing of donations

Communications

  • Develop and execute specific communication goals and objectives, in regards to: Board of Directors, Individual & Corporate Members, Community Partners, Volunteers, & General Public.
  • Assist with general public promotion and awareness of TRAHC’s mission

QUALIFICATIONS

REQUIRED SKILLS / ABILITIES

  • Exceptional verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple, competing priorities successfully.
  • Ability to maintain confidential records.
  • Takes the initiative to complete duties and responsibilities and address issues before they become problems.
  • Ability to propose procedural improvements & solve roadblocks
  • Ability to collaborate closely with colleagues
  • Proficient with Microsoft Office Suite or related software.

EDUCATION AND/OR EXPERIENCE
Qualifications include:

  • Associate or Bachelor’s Degree
  • Computer proficiency in Microsoft Office Suite essential; Mac platform preferred; Google Suite preferred.
  • Experience with grant writing preferred.
  • Experience with Human Resource procedures preferred.

COMPENSATION & BENEFITS
This is a full-time, non-exempt employee position paid an hourly rate of $13-16/hour commensurate with experience, and eligible for paid holidays, sick/vacation leave, and insurance coverage.

Administrative Assistant

REPORTS TO: Administrative Director / Administrative Coordinator / Executive Director

HOUSED IN: Administration Department

SUMMARY
The Texarkana Regional Arts & Humanities Council, Inc. (TRAHC) is an equal opportunity employer seeking an Administrative Assistant familiar with non-profit, and office communications.

TRAHC’s Administrative Assistant supports the organization with daily operations and activity coordination alongside the Administrative Team with attention to detail, confidentiality, collaboration and professionalism. Duties, responsibilities and activities may adapt and change throughout employment.

ESSENTIAL FUNCTIONS:

Administrative Support

  • General office assistance, such as: receptionist support, editing, filing, & data tracking.
  • Document, track, and assist communications to board, donors, membership, volunteers, staff, & the community.

Volunteer Coordinator

  • Communicate with TRAHC volunteers about the schedule and their responsibilities
  • Actively pursue new volunteers for the Regional Arts Center
  • Create a monthly volunteer calendar
  • Help plan a yearly event for all volunteers

Rental Coordinator

  • Answer questions and communicate with potential renters about use of the Regional Arts Center
  • Coordinate the staffing of rental events
  • Be a positive representative of TRAHC in dealing with renters / caterers
  • Marketing the rental spaces of the Regional Arts Center

Social Media

  • Develop and implement specific communication goals through social media
  • Create graphics that help promote upcoming TRAHC events & membership
  • Schedule & plan social media posting

COMPENSATION & BENEFITS
This is a part-time employee position paid an hourly rate of $9-12/hour.

EDUCATION AND/OR EXPERIENCE
Preferred qualifications include:

  • Computer proficiency in Microsoft Office Suite essential; Mac platform preferred; Google Suite preferred.
  • Experience with social media marketing preferred.
