Event Coordinator

Position Overview:

The Event Coordinator is responsible for managing rental and event activities at the Regional Arts Center and at our second location at 518 Pine, as well as coordinating volunteers and overseeing TRAHC Attendants. This role requires excellent organizational skills, strong communication abilities, and a commitment to representing the Texarkana Regional Arts & Humanities Council (TRAHC) positively in all interactions.

Key Responsibilities

  • Rental Coordination
  • Respond to inquiries from potential renters regarding the use of the Regional Arts Center and 518 Pine.
  • Explain and review rental contracts with clients, ensuring all terms are clearly communicated.
  • Handle deposits, payments, and refunds efficiently and accurately.
  • Ensure compliance with all rules, regulations, fire codes, and alcohol licensing agreements during rentals.
  • Coordinate the setup and breakdown for rental events.
  • Manage staffing requirements for rental events, ensuring adequate coverage.
  • Represent TRAHC positively while interacting with renters and vendors.
  • Assist in marketing the rental spaces of the Regional Arts Center and 518 Pine to prospective clients.

Event Coordination

  • Collaborate with the Education Department, Executive Director, and other staff to plan and execute TRAHC events.
  • Assist with setup and breakdown for all TRAHC events.
  • Coordinate staffing needs for events to ensure smooth operations.

Volunteer Coordination

  • Communicate regularly with TRAHC volunteers regarding schedules and responsibilities.
  • Proactively recruit new volunteers to support TRAHC and its programs.
  • Develop and maintain a monthly volunteer calendar.
  • Plan and execute an annual volunteer appreciation event.
  • TRAHC Attendants
  • Oversee and manage TRAHC Attendants, ensuring they meet organizational standards.
  • Create and maintain schedules for TRAHC Attendants, covering Saturday open hours, events, and rentals at both locations.
  • Coordinate with staff to meet any additional TRAHC Attendant assistance needs.
  • Review and submit timesheets for TRAHC Attendants to ensure timely and accurate payroll processing.

Qualifications

  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Ability to work flexible hours, including evenings and weekends.
  • Customer service experience, with a positive and professional demeanor.
  • Familiarity with event planning, volunteer management, or facility rentals is a plus.
  • Proficiency in using scheduling tools and basic office software (e.g., Microsoft Office, Google Workspace).

Work Environment

  • This role will require work at the Regional Arts Center and 518 Pine, as well as occasional travel to coordinate with vendors, volunteers, or other event-related activities.

Job Type: Full-time

Pay: $13.00 - $16.00 per hour

Expected hours: 37.5 – 40 per week

Facilities Custodian

Position Overview:

The Facilities Custodian is responsible for housekeeping, janitorial, and general maintenance services across TRAHC’s facilities, including the Regional Arts Center and 518 Pine. This role ensures clean, safe, and welcoming environments for staff, patrons, students, renters, and visitors while supporting the preparation and upkeep of spaces for events and programming.

Janitorial Services

  • Perform cleaning tasks such as dusting, sweeping, mopping, vacuuming, and sanitizing restrooms, kitchens, and other facility areas.
  • Maintain and care for floors, cleaning and vacuuming.
  • Wash walls, windows (interior and exterior), and equipment as needed.
  • Follow established cleaning schedules for daily, weekly, and seasonal tasks.
  • Safely handle cleaning chemicals and supplies, using them as directed.
  • Assist with waste management such as taking out trash and securing dumpsters.

Facilities Support

  • Open and close facilities, ensuring security by locking doors and windows, turning off lights, reporting unauthorized occupants, and arming and disarming the alarm system.
  • Assist with event setups, including arranging furniture, equipment, and other materials according to layout plans.
  • Respond to emergencies and address cleaning or facility needs promptly.
  • Perform minor repairs (e.g., replacing light bulbs, HVAC filters) and report larger repair needs to supervisors.
  • Monitor and restock supplies, submitting requests for replenishment as needed.

Additional Responsibilities

  • Attend staff meetings, safety training, and other related sessions.
  • Remove debris, snow, or other materials from sidewalks and entryways as needed.
  • Move furniture, equipment, and tools as required for facility needs.
  • Provide support for special projects and other assigned duties that contribute to the organization’s success.

Qualifications:

Education and Experience

  • High school diploma or equivalent required.
  • Experience in janitorial services, facility maintenance, or housekeeping preferred.
  • Familiarity with tools, cleaning equipment, and maintenance practices is a plus.

Skills and Abilities

  • Strong time-management skills and the ability to work independently.
  • Excellent communication, interpersonal, and teamwork abilities.
  • Attention to detail and ability to follow instructions.
  • Physically capable of lifting up to 25 pounds, climbing stairs, and using ladders.
  • Problem-solving skills, initiative, and adaptability.
  • Proficiency with basic math skills (addition, subtraction, multiplication, division).
  • Ability to handle cleaning supplies and chemicals safely.

Certificates and Licenses

  • Valid driver’s license preferred.
  • Certifications in janitorial or maintenance practices are a plus.

Other Requirements

  • Must have a working phone for timely communication.
  • Must be able to travel between building locations.
  • Professional, courteous demeanor with a focus on maintaining a clean and welcoming environment.
  • Flexibility to work evenings and weekends as needed for events or facility needs.

Work Environment:

This position involves physical labor, including standing, bending, lifting, and working with cleaning equipment and chemicals. Tasks may include working outdoors in various weather conditions or indoors with varying noise levels, depending on event and facility needs.
